The Administrative Assistant to the President provides essential administrative support to the President and Board of Trustees while serving as a welcoming and professional point of connection for the campus and community. This role blends discretion, organization, and advanced technology skills to support leadership, governance, and institutional priorities in a collaborative and fast-paced environment.
Minimum Qualifications
· High School Diploma or GED required; Associate degree in Business or related field preferred
· Strong prioritization and decision-making skills in support of executive leadership
· Advanced proficiency with Microsoft Office Suite, document management systems, and digital communication tools
· Demonstrated ability to organize and maintain electronic records using local and cloud-based systems, ensuring accuracy, security, and accessibility
· Strong organizational, time-management, and multitasking skills
· Professional demeanor with excellent interpersonal, verbal, and written communication skills
· Ability to anticipate executive needs and proactively resolve issues
· Ability to maintain confidentiality and exercise sound judgment
Preferred Qualifications:
· Experience in an educational environment
· Experience supporting boards, commissions, or governing bodies
· Executive-level administrative experience
· Familiarity with Fort Hays Tech | North Central campus and community

Essential Duties and Responsibilities
Administrative Support
· Provide comprehensive administrative support to the President, anticipating needs and proactively managing priorities
· Manage the President’s calendar, scheduling appointments, meetings, and events while prioritizing commitments and resolving conflicts
· Prepare meeting logistics, materials, agendas, and follow-up documentation
· Track executive priorities, deadlines, and action items
Board of Trustees & Governance
· Serve as Clerk to the Board of Trustees
· Prepare and distribute agendas, communications, and meeting materials
· Attend board meetings and record accurate minutes
· Maintain the Board Policy Handbook and official governance records
· Support policy development, implementation, and review processes
· Serve as Open Records Custodian in compliance with legal requirements
Records, Technology & Compliance
· Maintain secure and organized physical and electronic records for President, board, and the institution
· Ensure compliance with records retention, confidentiality, and open records policies
· Apply data privacy and cybersecurity best practices in handling sensitive information
Communication, Coordination & Operations
· Draft and edit executive reports and documents
· Coordinate travel arrangements and executive events
· Attend Foundation meetings as recording secretary and maintain records
· Schedule campus building and institutional events
· Review designated website content and recommend updates
· Identify and implement improvements to office workflows and administrative processes
· Maintain professionalism, discretion, and ethical conduct
· Support and model the college’s Mission, Vision, and Values
