Position involves administrative and general office support duties along with some specialized tasks, including assistance to the departmental chair and faculty. Duties will include communication, accounting and bookkeeping, assistance with personnel and programming processes, data management, and public relations assignments. Will utilize standard office tools and technology, supervise and provide leadership to student employees. A successful candidate needs to be able to manage multiple tasks simultaneously, work independently and in a team-environment, possess strong communication skills, be willing to learn new or have experience in computer platforms such as Workday, be prompt and attend consistently, and be well organized and detailed oriented.
Minimum Qualifications: High School diploma or GED equivalency and three years of office experience or one year of post-secondary education required. Supervisory or managerial experience, required.
Preferred Qualifications:
- Associate’s degree or higher
- More than three years of office experience
- Highly proficient with Microsoft Office suite (especially Outlook, Word, Excel)
- Proficient in QuickBooks
- Proficient in Workday

Responsibilities:
- In a dynamic and professional environment, communicate with students, faculty, staff, and administrators on a daily basis, sometimes regarding confidential issues. The individual hired must be able to communicate with individuals of various backgrounds, nationalities, and temperaments on a daily basis. The individual hired must screen and transfer calls and visitors as necessary and direct inquiries to appropriate individuals and offices.
- Maintains all budgetary accounts. Prepares payment vouchers, travel authorizations, travel payment vouchers, and purchase requisitions.
- Makes travel arrangements and submits reimbursements for the department chair, faculty and staff.
- Assists chair with correspondence, spreadsheets, and documents.
- Assists chair with scheduling meetings, classes, activities, facilities, and classrooms.
- Maintains inventory and orders office supplies and equipment as needed. Coordinates the maintenance of office equipment. Orders supplies and equipment as necessary.
- Interviews, selects, coordinates, schedules, supervises trains and evaluates student employees. Assigns daily tasks to student employees.
- Organizes and maintains digital and paper files and records, with primary responsibility for maintaining the security and confidentiality of all departmental files.
- Other duties as assigned by the department chair.
