Duties & Responsibilities:
This full-time position provides administrative and clerical services for Jana’s Campaign, including the Executive Director, Board of Directors, and programming staff. We are seeking a highly organized and proactive Operations Manager to join our team. The ideal candidate will be responsible for supporting our small team in daily operational and administrative tasks. The position requires excellent communication skills, attention to detail, and the ability to work in an upbeat and growing nonprofit environment.

Jana’s Campaign is a national education and violence prevention organization with the single mission of reducing gender and relationship violence. In honor of the late Jana Mackey and other victims and survivors of gender and relationship violence, Jana’s Campaign delivers educational programs that prevent domestic and dating violence, sexual violence, and stalking.

Work that matters! When you join Jana’s Campaign as the Operations Manager, you will be responsible for a wide range of duties to support the day-to-day functions of the organization. This position includes administrative duties to ensure efficient operations of the office and extends to offering support for all gender and relationship violence prevention education efforts.

Administrative Duties:
• Manage incoming calls and correspondence, redirecting as appropriate.
• Occasionally coordinate and schedule meetings, appointments, and travel arrangements for team members.
• Maintain office filing and organizational systems, both physical and digital.
• Assist the Executive Director with human resources processes such as hiring and onboarding for new employees; liaise with insurance and benefits providers; and maintain organizational policies and procedures as needed. 
• Manage office inventory and maintain adequate office supplies.
• Confidentially handle sensitive information.
• Other programming support and assistance as needed.

Financial Responsibility:
• Manage, process, and record all revenue and expenditures for the organization, including tracking and entering donations, grant funds, event ticketing, and summit registrations; as well as monitoring, recording, and paying all bills.
• Prepare Thank You Letters for all revenue received for Executive Director.
• Assist the Executive Director with the execution of the Fundraising Development Plan – including providing reports, researching foundations/corporations, grant reporting assistance, etc.
• Assist with the preparation and submission of all reports for the federal government, Kansas, and other states as needed, such as annual reports, charitable organization registration, and SAM.gov registration; and assist our external accountant with the preparation of all IRS reports.
• Manage software platforms relative to accounting and donor management.
• Support and attend meetings of the Board of Directors Finance Committee and Development Committee as needed.

Minimum/Preferred Requirements:
• Two-year equivalent or higher for collegiate education preferred, with coursework and professional development that supports this position.
• Preferred one year or more experience in an office environment.
• Self-motivation and ability to work with minimum supervision.
• Strong analytical thinking, problem-solving skills, and extreme attention to detail. Proven ability to handle multiple projects and meet critical deadlines. 
• Ability to communicate effectively, in writing and orally with staff, volunteers, partners, donors, and the general public.
• Ability to utilize electronic communication and computer applications (Quickbooks, Word, Excel, PowerPoint).
• Must be able to pass a background check, consent to random drug testing, and possess a valid driver’s license.

Additional Information:
• Position is based in Hays, Kansas
• Flexible schedule available, expected to work 32 hours per week (4-Day Work Week – Monday-Thursday), exempt position
• Salary Range: $32,000 - $36,000
• Health Insurance Opt-In (30-Day Waiting Period)
• 403B Retirement Plan with up to 6% Match from Jana’s Campaign
• Occasional travel as needed
