The Access Services Specialist is a key customer-facing position in Tebo Library.  The specialist oversees circulation services, course reserves, public workstations, public printing services, event set-up, and collection of fines and fees.  They work to ensure friendly and efficient public-facing services that conform to library policy and practice.  They are the first line of communication for library visitors.  The specialist must be detail-oriented with strong customer services skills and must enjoy training and supervising student employees. This position reports directly to the Coordinator for Library Operations and indirectly to the Coordinator of Library Spaces and Digital Learning.  They may serve on library or university committees as requested by their supervisor or the Dean.

MINIMUM QUALIFICATIONS:
  • Bachelor’s Degree from an accredited college or university
  • Demonstrated ability to work effectively in a team environment.
  • Strong commitment to customer service, excellent interpersonal skills, and effective written and oral communication skills.
  • Exceptional level of accuracy, thoroughness, and attention to detail for all financial and supervisory tasks.

PREFERRED QUALIFICATIONS:
  • At least 2 years of experience working in a library, preferably in circulation services in an academic institution.
  • Supervisory experience, including experience training, supervising, and evaluating student employees.
  • Technical experience that includes an integrated library system’s circulation module, Windows and Mac computers, Microsoft and Adobe software, scanners, and printers.
  • Ability to interact effectively with the diverse clientele of the library, university, and Hays community. 
  • Ability to work a flexible schedule when needed to meet the library’s hours of operations.
  • Ability to learn the Workday system for employee hiring, time management, and financial processes.

RANK: This is an unclassified professional, exempt, 12-month, position

RESPONSIBILITIES:
  • Hire, supervise, schedule, train and evaluate student employees who work at the Welcome Desk.
  • Supervise all circulation services, including checking materials in and out, renewals, recalls, holds, course reserves, materials shelving, shelf-reading, and missing items searches.
  • Maintain current, in-depth knowledge of the ALMA integrated library fulfillment (circulation) system for library and ensure that patron loads and functions operate correctly.
  • Provide direct assistance to library users in the basic operation of computers, software, printers, copiers, and scanners.  Trains student employees to assist patrons competently with technology.
  • Ensure that library users are appropriately referred to library specialists for research help.
  • Collect and compile data and statistics and report these monthly to the dean.
  • Maintain the University’s financial standards by balancing and depositing Welcome Desk service monies.
  • Maintain the confidentiality of patron records in accordance with state statutes and national standards.
  • Maintain a functioning, attractive and secure public environment, taking appropriate action to address and report problems or emergencies.
  • Trains student employees and library staff in required opening and closing procedures.
  • Serve on library or university committees as requested by their supervisor or the Dean.
