Administration Building in Hays, KS (onsite position). Full-Time. $1,000 Sign On Bonus*

General Office Hours are Monday to Friday, 8:00 AM - 5:00 PM. Occasional Evenings or Saturdays may apply. This is an in-person role with potential to travel to area locations (agency car provided).

Bachelor's Degree preferred.

, in the developmental disability field preferred. Proficient in the use of technology, social media strategy and analysis, and video/ audio/photo editing (ie: Canva, Adobe). Proficient in Google Workspace. Experience with managing online learning management systems and training development software (ie: Ispring Solutions, Relias Learning). Strong organization, writing, keyboarding and computer skills. Strong verbal, interpersonal, presentation, and facilitation skills.

Starting Wage:
$19.73 /hr with incremental increases up to 5 years contingent on experience and education.

Training and Compliance Coordinator

Job Summary

Conduct workshops, in-services, and other training to meet the standards of the various funding and/or accreditation agencies for DSNWK CSP and for DSNWK CDDO. Implement and maintain a system-wide corporate compliance program for DSNWK CSP. Promote an awareness and understanding of positive ethical and moral principles consistent with the mission and philosophy of DSNWK CSP and those required by federal and state law.

Essential Functions

  1. Develop and conduct training as required by DCF, KDADS, KDHE, and other licensing, funding or accrediting entities, or as requested for staff.
  2. Continually research, learn, and utilize current design applications and technologies to reach department goals.
  3. Help identify and cultivate relationships in communities throughout northwest Kansas.
  4. Manage and execute DSNWK Innovation Team requests, working toward completion of goals and objectives as established within the team.
  5. Develop and maintain digital documents and drives across departments as needed (ie: Google sheets).
    a. Train staff on the use of the DSNWK Forms (ie: Reference form, Advertising Response Form, Advertisement Request Form, Transfer Request Form, Monthly Financials Drive, etc.)
    b. Manage and direct all incoming responses to the appropriate Director or Supervisor; ensuring completion of requests.
  6. Review, update, and participate in the approval process by Directors and the Planning Team regarding DSNWK Policies and Procedures pertaining to job description.
  7. Organize and file Human Resource and Training Department invoices; create and submit corresponding purchase requisitions (Blackbaud).
  8. Stay current in the field of rehabilitation, quality assurance, ANE prevention, staff training, human resource development, and other areas of emphasis. Attend initial and ongoing training and meetings as requested.
  9. Ensure the completion and assist in the duties of the Training Specialist as listed in the job description.
    a. Develop and maintain quality materials, supplies, and techniques to promote learning and retention of subject matter.
    b. Report class attendance to necessary certification providers (American Heart Association, The Mandt System, RTAP) and coordinate distribution of certificates, filing of testing materials, and other class documentation for the training team ensuring record retention according to GU.74 - Records Retention Timetable Guideline.
    c. Review staff enrolled for future classes, checking that necessary prerequisites are met and contacting staff and supervisors if a change in enrollment is necessary.
    d. Update Training Quarterly count sheet with information from rosters (used in quarterly reports and documentation tracking).
    e. Assist other instructors with technical issues for classes (CFM, Google Meet, Datis).
  10. In conjunction with the Program Assistant (Directors), notify, track, and record staff training enrollments and attendance.
  11. Oversee, recommend, evaluate, and participate in Staff Development for DSNWK.
    a. Establish and maintain a mutual working relationship with Interhab, ANCOR, Relias, and other applicable training services regarding staff development opportunities.
    b. Assess and review staff training needs and develop training plans as needed. Review, evaluate, and modify existing training programs; recommend appropriate changes for improvement.
    c. Create, update, and maintain all aspects of Relias Learning Management Systems courses, live events, training plans, reports, etc.
    d. Maintain DSNWK's training curriculum and complete randomized Quality Assurance monitoring of instructors via Google Meet Systems or in person to evaluate class quality and curriculum.
    e. Ensure availability, certification compliance, renewal, and need for Training Specialist and agency instructors.
    f. Coordinate Instructor certification renewals, documentation, and travel arrangements.
    g. Yearly review and disposal of old training documents.
    h. Create class schedule for the upcoming year, coordinating instructors and classroom availability and add into Relias for staff enrollment. Update Google DSNWK Training Calendar to include instructor, training resources, and room/equipment reservations.
    i. Develop available training schedule for affiliates coordinating individual enrollment with DSNWK availability and invoice processing via the Fiscal Department.
    j. Review overall agency compliance levels, adding classes to the schedule as necessary and informing supervisors and staff of additional class opportunities.
  12. Oversee, plan, and maintain the Training Department budget and yearly inventory.
    a. Maintain an adequate amount of training materials across DSNWK training sites. Order training supplies and materials as needed.
    b. Research grant opportunities related to staff recruitment and training that further the mission of DSNWK; forwarding applicable opportunities to the appropriate Director or the Fundraising Committee.
  13. Create and maintain applicant posts in e3, the DSNWK Open Positions sheet, and notify all staff of new openings in accordance with Policy 1.G.20 - Promotions and Transfers.
  14. In conjunction with the Development Department, create, update, and maintain promotional and informational materials related to online marketing content, social media advertisements, and online job boards that promote and support the mission of DSNWK, brand awareness, and hiring efforts.
    a. Work cooperatively with the appropriate staff or department to ensure DSNWK branding and advertising needs are met through marketing, public relations, and community involvement.
    b. Respond to hiring supervisors' requests regarding open job positions and routinely provide updates to the job description to the Human Resource Manager and Director of Administrative Services.
    c. Develop and maintain quality materials, supplies, and techniques to promote hiring and brand awareness.
    d. Submit itemized purchase requisitions for all advertising throughout DSNWK, except for those radio and video advertisements managed by the Development Department.
  15. Maintain and update Relias Learning Management System regarding new hires, transfers, and staff terminations.
  16. Actively recruit applicants for current and future position openings through community presentations, job fairs, media advertisements, and other sources.
    a. Contact eligible applicants or new hires, as needed, to verify availability and/or request missing information.
    b. Conduct pre-employment reference checks for applicants and maintain digital records.
    c. Verify work experience and professional qualifications as requested by the hiring supervisor, notifying the Human Resource Manager and hiring supervisor of the starting wage according to DSNWK's current wage scale.
    d. Approve and release employment applications ensuring Policy 1.G.51 - Rehiring Former Employees has been considered.
    e. Establish and update training and personnel records. Assist with employee orientation and ongoing training compliance related to DSNWK staff. Maintain compliance reports and notify Payroll Coordinator of staff's bonus eligibility.
  17. Assist with incoming communications via telephone, email, and personal visits, take messages and assure positive public relations for DSNWK.
  18. Serve as DSNWK's Corporate Compliance Officer. Prepare analysis of Corporate Compliance reports and ANE reports received during the fiscal year and report to the Director of Administrative Services.
  19. Participate in the grant process for various supplies needed by instructors for training (Manikins, Trainer AEDs, First Aid Supplies). Coordinate installation, maintenance, and ordering supplies of all DSNWK AEDs, LifeVacs, etc.
  20. Advocate for and ensure the protection of rights of individuals receiving services.
    a. Maintain and foster inter and intra-agency relationships benefitting training and the ANE investigation process.
    b. Compile data, prepare, and complete quarterly and annual reports pertaining to the Quality Management, Human Resource and Training Department as requested.
    c. Create, administer, and collect results of DSNWK satisfaction survey. Summarize results and report to the Director of Administrative Services.
  21. Establish and maintain a mutual working relationship with DCF regarding investigative processes.
    a. Coordinate abuse/neglect/exploitation (ANE) reporting and investigative procedures for all DCF screened-in reports which includes interviewing, report writing, follow-up, filing and correction planning for DSNWK as a service provider and for DSNWK as a CDDO upon request.
    b. Communicate or direct all DCF calls that are not screened-in, non-ANE calls and Corporate Compliance inquiries to the appropriate Director for a decision on how to proceed in the investigation and follow-up.
    c. Create a letter summarizing the outcome of any DSNWK confirmed ANE case for review by the appropriate Human Rights Committee and for review by the Quality Assurance/Quality Enhancement Team. (Policy 2.C.31 - Prevention of Abuse, Neglect, Exploitation (ANE)).
    d. Complete internal audits of person served finances ensuring exploitation has not occurred. Report and investigate audits in which exploitation is suspected.
HIPAA Compliance

  1. This position will have access to PHI and ePHI of individuals necessary to perform ANE investigations; of individuals required for projects and training specific to the needs of an individual(s) served; of individuals required to monitor quality of services.

KPERS Eligibility
  1. This position is not subject to the two year training period as defined by KPERS.

Education -

Extent of physical effort required - Routine job requirements. Little if any behavior or other physical intervention. Must be able to successfully demonstrate physical skills and techniques for Mandt and First Aid/CPR/AED classes.
