Make an impact:  Work with AmeriCorps Seniors volunteers, serving with the Fort Hays State University Foster Grandparent and Senior Companion Programs, who are dedicated to enriching the lives of students in schools and/or elders in the communities they serve.  The Assistant Director will work to connect individuals and organizations to grow partnerships, recruit new volunteers and provide resources and leadership to current volunteers.

Position Description:  The FGP/SCP Assistant Director implements the daily operations for the federally funded grant programs administered by the Fort Hays State University Foster Grandparent and Senior Companion Programs.  The Assistant Director is responsible for the daily oversite of volunteer activities and is actively involved in the recruitment and retention of volunteers and volunteer stations. This position assists in developing and implementing plans and goals for the Programs and ensures compliance with grant regulations and internal policies. Foster Grandparent volunteers serve within a 9-county service area and work one-on- one with children in classrooms at assigned schools.  Senior Companion volunteers serve within a 13-county service area and provide companionship and support to isolated older adults and/or respite to family caregivers.  Regular travel within the service area is required. The position provides services at community locations, and in the homes of program clients. 

Minimum Qualifications: This position requires a bachelor's degree

Preferred Qualifications:
  • Outstanding written and verbal communication and public speaking skills
  • Ability to foster interaction between diverse groups of people, such as older adults, teachers, principals, children, community leaders, volunteers, and university faculty and staff
  • Ability to supervise program volunteers
  • Excellent office management skills and proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint)
  • Strong time management skills and personal accountability to complete tasks in a timely manner

Responsibilities:
  • Assist in the planning and development of all phases of FGP/SCP operations;
  • Ensure National Service Criminal History Check is completed for all covered staff and volunteers in accordance with CNCS requirements and agency policy;
  • Assist with hiring, training, and supervising adequate staff to efficiently carry out, maintain and develop operations of the Foster Grandparent/Senior Companion Program;
  • Assist in budgeting and monitoring expenses within the parameters established by the grant terms;
  • Provide support, information and materials for coordinators and appraise staff performance according to Fort Hays State University personnel policies and procedures;
  • Manage program volunteers: recruit, hire, supervise, and train volunteers; review applications; provide orientation programs; make placements; and conduct trainings.
  • Maintain volunteer files according to Program policy. Manage time and leave entry as well as payroll for program staff.  Reimburse program volunteers for travel, using processes established by the Program and FHSU Business Office to assure payments for volunteers are processed;
  • Plan, develop, and implement ongoing public relations opportunities, including social media, in cooperation with Fort Hays State University;
  • Engage with community organizations and other national service programs to enhance FGP/SCP program.  Develop and deploy successful communication plans to recruit prospective volunteers; 
  • Process requests for Program services; 
  • Assist in monthly in-service trainings for all sites in the service area including; scheduling speakers, creating agenda, developing training materials, reserving sites and meals as needed;
  • Arrange for formal and regular recognition of volunteers, organizations and individuals who have contributed to the support of FGP/SCP;
  • Send volunteer placement sites established survey to assess the effectiveness of placements, ensure the delivery of services and confirm Program grant requirements are being met;
  • Assist in planning Advisory Council meetings.  Provide Program data to contribute and enrich council decision making; 
  • Manage internal processes and procedures to ensure the delivery of programs and services with appropriate support and materials;
  • Implement agreed upon performance measure and other FGP/SCP grant requirements;
  • Work in cooperation with Fort Hays State University staff, Advisory Council members and volunteer station staff to obtain resources for programs;
  • Assure volunteer orientation, in conjunction with volunteer work stations and staff;
  • In conjunction with FGP/SCP staff, develop and maintain close coordination and relationships with volunteer stations, including development of volunteer assignment plans;
  • Provide ongoing support to volunteers;
  • In conjunction with FGP/SCP staff, appraise volunteer performance;
  • Attend trainings, conferences and other employee development opportunities as authorized by the Program Director.
