The Senior Administrative Assistant provides administrative and general office support duties for the department chair and faculty in the Department of Applied Business Studies. Duties will include office management and communication, bookkeeping, and some marketing/social media. This position does supervise a student employee. A successful candidate needs to be able to work independently, take initiative, manage tasks simultaneously, and possess strong communication, interpersonal, and time-management skills.
Minimum Qualifications: This position requires a High School Diploma, or equivalent.
Preferred Qualifications: Excellent customer service skills; Ability to create marketing materials and use social media platforms: Strong written communication skills; Proficiency with Microsoft Office applications (Word, Excel, etc.); Familiarity with Workday; Experience in an office setting

Responsibilities:
General Office & Administration
- Communicates with students, faculty, staff and administrators on a daily basis. The Senior Administrative Assistant is the primary contact person for students, faculty, and staff who come into the office, email, message on Microsoft Teams, or call the office for information.
- Hires and supervises student employee; sets work schedule and establishes work assignments for the student employee
- Orders and purchases supplies and equipment as necessary; Maintains inventory of supplies and equipment.
- Coordinates the maintenance of office equipment.
Financial Records and Data Management
- Perform bookkeeping tasks, such as tracking expenditures for the department’s state and Foundation accounts.
- Reconciles all department accounts between Workday and the accounting process every month to provide monthly department account activity and balance reports.
- Submit invoices for payment and reconcile credit card charges.
- Process travel reimbursement for the chair and faculty within the department.
- Maintain an organized system of data and records to be shared with the department chair and other stakeholders.
Scheduling and Event Planning
- Assist the department chair in determining class schedules for faculty and ensure schedules are prepared and submitted on time.
- Assist with planning meetings and events for the department.
- Assist with itineraries for campus interviews and reimbursements for candidates
Technology and Social Media Management
- Develop proficiency in Workday, the university’s online platform for managing student records, to process financial transactions, process travel reimbursements, and perform HR tasks.
- Oversee the department’s social media accounts and maintain the department’s webpages to ensure accurate information is provided to the public.
- Assist with creating brochures and other items to promote the department and programs. Much of this is done using Canva.

About the Department:
The Department of Applied Business Studies (ABS) is one of four departments in the Robbins College of Business and Entrepreneurship at FHSU and offers outstanding undergraduate and graduate instruction. Currently, the degrees and majors offered by the department are a BBA in Marketing, a BS in Business Education, and a BS/BBA in Tourism and Hospitality Management. All of these degrees are offered through online and face-to-face instruction. The department is involved in international partnerships. Additionally, the department contributes to teaching Marketing courses in the college’s MBA program.
