General Function: The Health Administrative Assistant is responsible for maintaining all health data for children, assisting the Health & Nutrition Coordinator, as well as routine office duties. This position involves data input, ongoing monitoring, report production, purchasing responsibilities, and related records maintenance, all while maintaining HIPAA. The position also assists with children, families, vendors, and the general public. 
Typical Duties and Responsibilities: 
1. Unpack, store, and distribute supplies for the health office. 
2. Responsible for purchasing and ordering materials 
3. Keep a record of all purchase orders and expenditures to date.
 4. Take a complete inventory yearly to assure ample supplies and be prepared to order additional items as needed for the classrooms and nurse’s office.
 5. Prepare requisitions for all supplies needed. 
6. Update and move student’s files to current year’s placement, as enrollment information becomes available. 
7. Type new health folders for all incoming students. 
8. Organize and supervise the Vision and Hearing screenings required. 
9. Answer phone, direct phone calls, or take messages.
 10. Do first aid whenever the nurse is out of the office. (Training in CPR and First Aid may be obtained after employment). 
11. Administer student medications whenever the nurse is not available. 
12. Be aware of students with special health concerns. Know where to access the crisis plan if needed. 
13. Contact parents when an ill student needs to be sent home. 
14. Maintain a daily log of students visiting the health office and enter into ChildPlus. 
15. Scan medical records into ChildPlus and file all health form in the child’s file. 
16. Work with ERSEA Coordinator to prepare packets & health forms needed for kindergarten transition. 
17. Provide monthly reports as scheduled or requested. Provide records and reports to the management staff as requested. Distribute accordingly. 
18. Maintain a successful and appropriate filing system of all paper records. Set up and maintain child and staff files. Ensures that paper documents match electronic records. 
19. Maintains records for audit purposes. 
Marginal Job Functions: 
1. Greets and directs people as they enter the office. 
2. Support classroom staffing needs. 
Scope of position: The Health Administrative Assistant reports to the Health & Nutrition Coordinator. The administrative assistant provides support to Health & Nutrition Coordinator & all Early Childhood Connections staff. This position receives moderate supervision. Daily contacts include all levels of Connections staff, school district employees, volunteers, families, children and the community. 
Qualifications/Requirements: 1. Must have high school diploma or equivalency, health related experience preferred. 
2. Strong attention to detail and accuracy. 
3. Comfortable with emergency situations and health issues such as vomiting, seizures, bleeding, injuries, asthma, and diabetic emergencies. 
4. Self-confidence, maturity, and the ability to remain calm in an emergency situation. 
5. Demonstrate proficiency with computer applications in a Microsoft Office Environment.
 6. Ability to use multi-line phone systems with voicemail, fax machine, computer, copier, printer and scanner.
 7. Proficient communication skills including oral, written and listening.
 8. Maintain confidentiality in all aspects of job performance. 
9. Must be courteous, helpful, and willing to be inconvenienced in order to get the job done.
 10. Must understand the responsibility to serve as a role model for preschool students. 
11. Ability to work as a team player. 
12. Organized, self-motivated, cooperative and able to multi-task, putting students’ needs first. 
13. Flexible
Special Physical Requirements: 
1. Sits at a workstation for 3 to 4 hours at a time sometimes causing computer eyestrain.
 2. Must be able to lift a minimum of 50 lbs.
 3. Must be able to lift things in and out of storage.
 4. Must be able to climb a step stool to get things stored overhead. 
5. Must be able to tolerate noises such as bells, telephones, and intercoms.
 6. Must be able to walk rapidly at times.
 7. Must be capable of dealing with a consistent high level of activity with numerous interruptions. 
Term of Employment: 
1. At will. 
2. Regular attendance is required of all employees subject to allowed leave in accordance with district policy. 
Must pass prior to starting position: 
1. Tuberculosis (TB) skin test 
2. Physical Exam 
3. Background check 
Compensation: Based on USD 489 hourly salary for Administrative Assistant.
