The administrative specialist performs various customer service, clerical and administrative duties according to established policies and procedures. This position is the first point of contact for the Communication Sciences and Disorders Department and the Herndon Speech-Language-Hearing Clinic. The candidate should possess the ability to work in a fast paced, high activity area while maintaining a flexible and positive student and client-centered environment. A successful candidate will have the ability to work proficiently in a team environment, work independently, and be well-organized with attention to detail while overseeing the daily operations of the department and clinic.

Minimum Qualifications: High School diploma or GED equivalency and two years of office experience or two years of post-secondary education.

Preferred Qualifications:
  • Associate degree or higher 
  • More than two years of office experience
  • Outstanding customer service skills
  • Strong written communication skills
  • Strong oral communication skills
  • Experience in supervision, especially in working with student employees
  • Experience with maintaining and reconciling budgets
  • Demonstrated ability to use and be proficient with Microsoft Office suite (Outlook, Word, Excel, Access, PowerPoint)

Appointment Date: Start date will be determined after acceptance of an offer and background check clearance.

Salary: $15.54 per hour plus benefits

Responsibilities:
  • Primary contact person for students, faculty, staff, and clients who come to, email or telephone the department or clinic.
  • Manage day to day operations for the Department of Communication Sciences and Disorders.
  • Hire, train and supervise student employees.
  • Schedule calendar events, building spaces, and office trainings.
  • Maintain budgetary accounts according to university policies and procedures. Reconcile the department’s financial transactions and prepare purchase requisitions. 
  • Prepare travel authorizations and travel payment vouchers.
  • Develop brochures and prepare written correspondences.
  • Maintain existing website and assist with social media sites.
  • Reviews purchase orders, vouchers, bills and forms to approve merchandise and/or reimbursements or to make payment for goods and services.
  • Other duties as assigned by the Department Chair.
  • Oversee day to day operations for the Herndon Clinic.
  • Communicate with clients as needed and oversee clinic schedule and daily patient flow process within the electronic health record (EHR) system.
  • Maintain and ensure HIPAA compliance.
  • Work alongside the Insurance Specialist, Clinical Coordinator, and student employees.
  • Maintains confidentiality in accordance with federal and state laws applicable to educational and healthcare institutions.

The Department of Communication Sciences and Disorders is one of six departments within the College of Health and Behavioral Sciences. The CSD department is active in teaching, research, and service through integrated academic and clinical coursework. The department offers a Bachelor of Science degree and a CAA accredited Master of Science degree in Speech-Language Pathology.
