Under the supervision of the Director, the Graduate School and Office of Scholarship and Sponsored Projects (OSSP) is looking for an individual to serve as an Academic Program Specialist. This on-campus position will coordinate front office operations, graduate assistantship hiring, and other administrative support tasks related to the department. A successful candidate will have the ability to collaborate and work with a team, multitask and prioritize a variety of duties, work independently with good judgement and be a self-starter. 

Responsibilities
  • In collaboration with other team members processes graduate applications for admission.
  • Maintains security and confidentiality of all graduate student records.
  • Working with the Director of the Graduate School maintains the department budget by overseeing processes, accounts, ordering, and purchasing.
  • Maintains office supplies and serves as point of contact for service and maintenance requests.
  • Manages the HR-related processes for the office, including hiring, payroll, and expense reimbursement.
  • Interviews, supervises, and trains multiple student employees.
  • Coordinates campus-wide graduate assistantship hiring, contracts, and related processes.
  • Provides administrative support for the Graduate Council.
  • Helps support and carry out research events, including the Graduate Scholarly Experience (GSE), John Heinrichs Scholarly and Creative Activities Day (SACAD), Kansas Capital Graduate Research Summit, Kansas Undergraduate Research Day at the Capitol, and Undergraduate Research Experience (URE).
  • Additional duties, as assigned.

Minimum Qualifications
  • High School diploma or GED equivalency.
  • Three years of office or administrative experience (Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.)

Preferred Qualifications:
  • Bachelor’s degree from an accredited Institution
  • Four years or more of office or administrative experience
  • Customer service experience
  • Excellent written communication skills
  • Experience in a University setting
  • Attention to detail
  • Supervisory experience

Wage: $16.23/hour.
