Position Summary:
The Executive Coordinator serves as the Administrative Specialist for local Regional Operations Managers (ROMs) and provides support to the Topeka administrative team as needed. This role is responsible for preparing travel reimbursements, invoices, supply requests, and other vouchers; assisting with planning, preparing, and distributing information; and coordinating logistics for staff trainings, meetings, and special events. The position also provides administrative support for the Department of Commerce Registered Apprenticeship Program by coordinating and scheduling related instruction and training activities. Additionally, the Executive Coordinator assists the Foreign Labor Manager with the H-2A Temporary Agricultural Program through accurate data entry, processing federal forms, and maintaining supporting documentation.
Job Responsibilities may include but are not limited to the following:
- Serves as Administrative Specialist to the local area Regional Operations Managers (ROMs) and provides support to the Topeka administrative team as needed.
- Performs a variety of office and operational functions including, but not limited to, preparing vouchers such as travel reimbursements, invoices, and supply requests; assisting in the planning, preparation, and distribution of information; and coordinating logistics for staff trainings, meetings, and special events.
- Maintains organized filing systems for leave requests and timesheets and prepares required monthly and quarterly reports.
- Serves as the administrative support for the Dept. of Commerce Registered Apprenticeship Program by coordinating and scheduling related instruction and training activities
- Provides assistance to the Foreign Labor Manager in the administration of the H-2A Temporary Agricultural Program, including accurate data entry and processing of required federal forms and supporting documentation.
Minimum Qualifications:
- Two years of experience in general office, clerical and administrative support work.
Education may be substituted for experience as determined relevant by the agency. - Valid Driver License and ability to travel to communities throughout the local area or other assigned locales. On rare occasions, overnight travel will be required

- Administrative and marketing skills preferred
Compensation: $16.56 hourly
