The Northwest Kansas Area Agency on Aging is accepting resumes for an Administrative Assistant.  We are looking for a responsible individual to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. Administrative Assistant responsibilities include making travel and meeting arrangements, preparing reports and maintaining appropriate filing systems, and daily data entry. The ideal candidate should have excellent oral and written communication skills, exhibit precise attention to detail, and be able to work in an organized fashion. If you have previous experience as an administrative assistant and familiarity within our industry, we’d like to meet you. Ultimately, a successful Administrative Assistant should ensure the efficient and smooth day-to-day operation of our office. 

Responsibilities 

  • Answer and direct phone calls
  • Organize and schedule appointments
  • Assist with coordination of meetings and take detailed minutes
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Order and stock office supplies
  • Ensure office supplies and reception areas are in a neat and organized manner
  • Complete intakes for service requests and make referrals
  • Complete screenings and assist customers with filling out applications for public based benefits 
  • Record agency mail in a database
  • Assist with general accounting duties
  • Maintain contact lists
  • Submit and reconcile reports
  • Greet and provide general support to visitors
  • Other projects and duties as assigned

  Qualifications and Skills 

  • Minimum of an Associate degree preferred
  • One year of experience in the geriatric/social service field is preferred
  • Ability to pass a background check
  • Experience as an administrative assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers, mail, and fax machines
  • Proficiency in MS Office (MS Excel and MS Word in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Skills to work in a cooperative and coordinating way with other agency staff
  • Ability to communicate and interact with older people and individuals with disabilities 
  • Ability to travel as required

  Benefits 
This position can be full time or part time.  Work schedule is Monday – Friday, 6-8 hours/day.   Successful applicant will receive holiday, vacation and sick time, and will be eligible for KPERS retirement benefits.
