 The position involves administrative and general office support duties along with specialized tasks, assisting the departmental chair and faculty for assigned AEP programs. Duties will include communication, marketing assignments, recruiting tasks, scheduling of classes, and data management. This position utilizes Microsoft Office and technology tools, including Canva, social media, and other creative tools. A successful candidate needs to be able to take the initiative, manage tasks simultaneously, work independently as well as in a team, possess strong communication skills, and be well-organized and detail-oriented.

Minimum Qualifications: This position requires a High School Diploma or equivalent, three to five years of experience in an office or administrative setting, and supervisory or managerial experience. 

Preferred Qualifications:
  • Bachelor’s degree
  • Excellent customer service and interpersonal skills
  • Ability to multitask and an ability to prioritize a variety of duties
  • Very detail-oriented and very organized
  • Proficiency with the Microsoft Office suite of applications, including Excel
  • Ability to work independently on a daily basis and as part of a team
  • Strong interpersonal and written language communication skills
  • Ability to use good judgment in making independent decisions
  • Experience in an education setting, PreK-12 or post-graduate

Responsibilities:
  • Communicates with students, faculty, staff, and administrators on a daily basis, sometimes regarding confidential issues.
  • Engages in program-specific administrative tasks
  • Assists the program coordinators with correspondence, spreadsheets, and documents.
  • Maintains program-specific documentation and resources
  • Enters and revises course sections in Workday
  • Assists department chair with ensuring schedules for on-campus and online classes, including resolving room conflicts, are submitted accurately, in a timely manner, and adhere to FHSU deadlines. Submits course approval forms for online and on-campus classes.
  • Develops and maintains recruiting strategies for assigned programs
  • Performs hiring/terminating processes with assigned adjunct instructors
  • Collaborates with Advisors on student support
  • Assists with updating the department website, creating social media posts/videos regularly, and creating brochures and other items to promote assigned programs.
  • Develops and maintains systematic marketing protocols specific to programs
  • Assists with program assessment and continuous improvement data collection
  • Other duties as assigned by the department chair.
