Development Coordinator
(Hays Catholic Schools Advancement/Alumni Office)
Position Overview:
We are seeking a proactive and detail-oriented Development Office Coordinator to join our team. The ideal candidate will be responsible for providing administrative support to our development department and assisting in various fundraising activities. This role requires strong organizational skills, excellent communication abilities, and a passion for our mission.
Key Responsibilities:
1. Administrative Support:
- Manage the development office's daily operations, including answering phone calls, responding to emails, and handling correspondence.
- Maintain organized filing systems for donor records, grant proposals, and other relevant documents.
- Schedule meetings, prepare agendas, and take minutes during development team meetings.
- Assist with budget tracking, expense reports, and other financial administrative tasks as needed.
2. Donor Relations:
- Serve as a primary point of contact for donors, providing excellent customer service and addressing inquiries in a timely manner.
- Assist in preparing donor acknowledgment letters, tax receipts, and other communications to acknowledge and steward donor support.
- Collaborate with the development team to maintain accurate donor databases and ensure donor information is up-to-date.
3. Fundraising Support:
- Assist in the planning and execution of fundraising events, including logistics coordination, guest registration, and on-site support.
- Conduct research on potential donors, grant opportunities, and fundraising prospects to support development efforts.
- Assist in the preparation of grant proposals, reports, and other fundraising materials.
4. Communication and Collaboration:
- Coordinate with other departments to gather information and resources needed for development initiatives.
- Collaborate with marketing and communications teams to ensure consistency in messaging and branding across fundraising materials.
- Assist in drafting content for newsletters, social media posts, and other communications to engage donors and supporters.
Qualifications:
- Alumni of TMP-M (Preferred)
- Bachelor's degree in a related field or equivalent work experience (Preferred)
- 2+ years of experience in administrative support, preferably in a development or nonprofit setting.
- Excellent organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
- Strong attention to detail and accuracy in data entry and record-keeping
- Proficiency in Office Technology and donor management software (e.g., Salesforce, Raiser's Edge) (Preferred)
- Excellent written and verbal communication skills
- Ability to work independently with minimal supervision and as part of a team
- Commitment to maintaining confidentiality and professionalism in handling sensitive donor information
