The Senior Administrative Assistant provides administrative and general office support for the Department Chair, faculty, and the Director of the Center for Entrepreneurship within the Robbins College of Business and Entrepreneurship. Responsibilities encompass office management, communications, records management, bookkeeping, marketing and social media, and operational support for the Center for Entrepreneurship. A successful candidate will be able to work independently, anticipate needs proactively, and demonstrate excellent organizational and interpersonal skills. This position also supervises student employees and reports to the Department Chair.

Minimum Qualifications:
  • High school diploma or equivalent.

Preferred Qualifications:
  • Associate’s degree or higher, and three years of experience in an office or administrative setting.
  • Strong written communication skills and proficiency with Microsoft Office, especially Word and Excel.
  • Ability to create marketing materials and utilize social media platforms.
  • Familiarity with the Workday student information system.

Responsibilities:
Financial Records and Data Management
  • Perform bookkeeping tasks, including tracking expenditures for the department’s state and Foundation accounts.
  • Submit invoices for payment and reconcile credit card charges.
  • Process travel reimbursements for the Chair, faculty, and Center for Entrepreneurship Director.
  • Maintain an organized system of data and records to be shared with the Department Chair and other stakeholders.
  • Oversee the acquisition and maintenance of office supplies and equipment.
  • Assist with budget monitoring and reporting requirements for the Center for Entrepreneurship.
Communication, Scheduling, and Event Planning
  • Coordinate communication between the department office, the Center for Entrepreneurship, and other university offices.
  • Assist the Department Chair in preparing and submitting faculty class schedules.
  • Plan and coordinate meetings, workshops, and events for both the department and the Center for Entrepreneurship, including pitch competitions and other entrepreneurship programming.
  • Assist with itineraries for campus interviews and process reimbursements for candidates applying for positions within the department.
  • Support logistics for community and regional partnership events hosted by the Center for Entrepreneurship.
Marketing, Communications, and Outreach
  • Oversee the department’s and Center for Entrepreneurship’s social media accounts and maintain associated webpages to ensure accurate, current information.
  • Assist in coordinating marketing and communication strategies that increase the visibility and impact of both the department and the Center for Entrepreneurship.
  • Help develop and distribute promotional materials for entrepreneurship events, workshops, and programs serving students, faculty, and regional stakeholders.
Technology and Systems Management
  • Develop and maintain proficiency in Workday to process financial transactions, travel reimbursements, and HR-related tasks for both the department and the Center for Entrepreneurship.
  • Support the onboarding and administrative coordination of student employees supervised through the Center for Entrepreneurship.

Compensation and Benefits
Salary: $15.03 per hour plus benefit package.
