The Athletic Events and Facilities Operations Assistant Director reports to the Assistant Athletic Director of Events & Facilities Operations, and serves as the lead decision-maker in the Assistant Athletic Director’s (Asst. AD) absence.  Assists the Asst. AD with management and oversight of daily operation, maintenance, & readiness of all athletic facilities. 

Coordinates with campus partners such as, but not limited to, facilities, police and safety, & grounds departments to ensure proper repair, cleanliness, functionality, and overall operations, related to events and athletic facilities.  Provides oversight to ensure compliance with safety, environmental, & ADA standards. Provides insight for the creation & distribution of facility calendars to staff, coaches, & campus partners.  Assists with leading the event & facility management staff in preparing venues for competitions, including setup & breakdown, & assists with operational logistics.  Assist with staffing plans for the month, specifically events, including student workers & game-day personnel. 

In conjunction with the Asst. AD develops, reviews, and updates policies and procedures, and makes recommendations to the Associate Director of Athletics.   Assists with developing a deferred maintenance plan for all athletic facilities, while providing vital recommendations to strategic planning and project oversight.  In coordination with the Asst. AD conducts routine facility inspections & identifies safety hazards or operational issues.  Assists with maintaining & reviewing workflows & documentation related to usage & compliance. Assist in developing & managing facility operations budgets. 

Recommends and assists with the oversight of purchases related to facility equipment, supplies, & repairs.  Assists with tracking expenses & ensure efficient use of departmental resources. Supervise full-time & part-time facility& event operations staff, student workers, & interns.  Provide training related to facility procedures, safety protocols, & event operations.  Collaborate with coaches, administrative staff, & other campus departments to support facility needs.  Serve as a gameday administrator on occasion.

Regular hours are Monday – Friday, 10:00 AM – 6:30 PM, with some evening and weekend hours required.
Minimum Qualifications: A minimum of three years of athletic event and facilities management or relevant experience, including lead or supervisory experience and/or training. Valid driver's license.

Preferred Qualifications:
· 4 years of Facility or Event experience
· Knowledge of materials, equipment and practices used in facility operations such as basketball goals, turf sweepers, auto-floor scrubbers, laundry machines, etc.
· Ability to lead and organize staff to ensure strategic success measures and outcomes are met.
· Experience in strategic planning, budget and inventory management
· Strong computer skills
· Experience in determining and coordinating resource allocations
· Excellent written and oral communication skills as this position will be the liaison between coaches and administration as well as communication of deferred maintenance within facilities.

Responsibilities:
  • Serves as the lead decision-maker in the absence of the Assistant Athletic Director.
  • Serves as a game-day or event administrator, representing the Athletic Department.
  • Assist with the development and on-going oversight of budget management, including forecasting.
  • Assist with the development, updating, and monitoring of a comprehensive deferred maintenance and replacement cycle of all equipment, surfaces, etc. associated with athletic facilities and event operations.
  • Assist with the development, implementation, and monitoring of a strategic plan that supports the overall Athletic Department strategic vision.
  • Support the development and implementation of a robust student worker training and professional development model.
  • Oversee, organize, and schedule full- and part-time employees and student workers engaged with athletic event and facilities operations.
  • Hire, train, and supervise several employees.
  • Maintain event calendars and communicate updates with department staff.
  • Provide on-site inspections of facilities, rooms, storage areas, fixtures, hallways, and facilities equipment to examine work results.
  • Facilitate standard safety practices and the correct use and care of all equipment, tools, and supplies.
  • Oversee and assist with maintaining and preparing collegiate athletic facilities to ensure a safe, clean, and welcoming environment for student-athletes, staff, and fans.
  • Organize, oversee, and provide on-site support during collegiate athletic events, tournaments, and practices to troubleshoot facility issues and ensure a positive experience for athletes, staff, and fans.
  • Plan, organize, oversee, and assist with set-up and breakdown of all athletic contests, championships, commencements, and special events.
  • Assist with the development, implementation, and support a plan for crowd management by ensuring pathways, exits, and seating areas are safe and accessible.
  • Assist with the development, implementation, and perform exterior maintenance of athletic facilities.
  • Assist with the development, implementation and perform duties to ensure all aspects of athletic facilities and operations reflect excellence.
  • Assist with the development of training for employees to ensure safe operation and maintenance of equipment such as, but not limited to: auto floor scrubbers, carpet extractors, high-pressure washers, high-speed floor buffers, and vacuums.
  • Lift and carry items up to 50 lbs. safely, including athletic equipment, event supplies, and furniture.
  • Work with University staff to clarify, monitor, and complete work requests.
  • Resolve any complaints or problems regarding facilities staff.
  • Perform additional duties as assigned to support the success of the athletic department and events.
